The Construction & Facilities Coordinator is responsible for coordination of various construction and facilities work relating to the expansion and maintenance of dental offices throughout the portfolio (with practices concentrated in Florida and Georgia). Successful candidates will have experience in construction, facilities management, real estate management and possess a customer focused service attitude. Travel could be up to 25% of the time as required for vendor meetings, site assessments, and supporting construction and facilities leadership out of the office. Responsibilities: Monitor and respond to facility and purchasing department tickets as they are generated, tracking for appropriate action, response time, cost, etc. Liaison between Construction team and supporting departments such as Development, IT, HR, etc. Keep all stakeholders apprised of schedule and future launch dates. Maintain a list of prequalified contractors, vendors, and suppliers. Evaluate and monitor contractors, vendors, suppliers and consultants and score performance scorecards, prepare reports on contractor effectiveness (performance and costs). Work with construction & facilities management to ensures materials / services are obtained at competitive rates (complete RFQ/RFPs as required). Process invoices and payments by contractors/suppliers, review project “Close Out” packages, verify all open punch list items have been resolved, close out documents are 100% complete, final invoicing and liens are accurate and collect tenant improvement allowance where appropriate. Preventative maintenance program management for recurring services Invoice reconciliation, review, and approval of vendor pay requests and submittals and screening, authentication, verification for invoicing prior to pay submission. Manage in house repairs of support center (corporate office). Manage support center corporate services for facilities and replenishment vendors. Visit offices/sites as required to evaluate work under construction, punch lists, issues negatively impacting practice operations. Requirements: 3-5 years experience in a comparable role Bachelor's degree preferred (not required); High school diploma or equivalent required Multi-unit or multi-location facility management experience is preferred (not required) Ability to read / interpret construction drawings, service level agreements, contracts, material specifications, governing regulations, codes, and technical manuals Critical thinking, ability to organize, prioritize and manage multiple projects with overlapping deadlines Capacity to work independently or within a team environment, follow direction, trouble shoot and meet goals and objectives Strong communication and negotiating skills Ability to lift up to 25 lbs and stand for periods of 30 minutes Must be able to travel up to 25% to perform site assessments and assess WO creation / prioritization needs Apply Today!
